The right system, actually in use by Tuesday morning

Schools, academies, and training programs run on enrollment, attendance, and reporting. We help you choose software that fits how you teach, connect it to what you already use, and get your staff comfortable with it.

Where projects stall

Picking software and adopting it are two different jobs

Most education software projects come apart at the second one. The platform gets bought, a few people learn it, and six months later half the staff are back in the spreadsheet they trust.

The fix is rarely more training slides. It is configuring the system to match how your program actually runs, so the default view of any screen is close to what someone needed to see anyway.

We do both halves: the evaluation that picks the right tool, and the setup and handoff that get it into daily use.

The shape of it

How a software engagement runs

This is the path we followed with a Phoenix music academy, and the one we follow most often.

Listening

Understand how the program actually runs

We sit with the program team, the data team, and leadership. What does a student's first day look like? What happens when a lesson is rescheduled? How do siblings get grouped in reporting? The friction is usually somewhere specific.

Evaluation

A structured review, not a demo tour

We shortlist the platforms worth considering and put the same set of questions to each. Live demos, honest scoring against your requirements, and a written report covering fit, pricing, integration, and risk.

Decision

One recommendation with the reasoning attached

You get a specific recommendation and the argument behind it, so your board or leadership team can see why. If none of the options fit, we say that instead.

Configuration

Set up the way you think about your program

By track, by cohort, by instructor, with family-level linking so enrollment and reporting count people correctly. We also build the integration into whatever already holds your student or donor records.

Handoff

Training, a short reference, and someone on call

We train the team on the handful of workflows that come up daily, write a short reference for those, and stay reachable through the first weeks of live use.

Beyond the platform

What else we take on for education teams

Software selection is one part of the picture. The rest usually looks like this.

Accessible course and program pages

Students, families, and staff use assistive technology. We build to WCAG standards so your public pages and portals work for all of them.

Integrations between the systems you keep

Student data into the CRM your development team uses. Attendance into the reports your funders ask for. We move only the fields the workflow needs, so both sides stay clean and auditable.

Enrollment and registration flows

Forms families can finish on a phone, with the validation that keeps your records usable afterward.

Websites your staff can update

Term dates, staff pages, and program listings change constantly. None of that should require a developer.

Ongoing care

Platforms change, plugins break, and terms restart. A retainer keeps someone who knows your setup on the other end of the email.

Proof

A music academy, from evaluation to daily use

Rosie's House teaches music to Phoenix students at no cost to their families. We ran the software search and the adoption that followed.

Picking the right software for a nonprofit, then actually adopting it
Back-end User Research

Picking the right software for a nonprofit, then actually adopting it

A Phoenix youth music academy was running on spreadsheets, paper forms, and four disconnected tools that had stopped scaling. They didn't want us to build them software. They wanted help choosing it, and help using it. We led discovery, evaluated music-school platforms against their real workflows, recommended one, implemented it, and integrated it with the Salesforce setup they were already using for donors and grants.
What clients are saying

From the people who had to live with the result

I can't express enough how grateful I am for everything that you have poured into this project. You set us up well for success. Thank you! Thank you! Thank you!

Common questions

Honest answers to the questions we get most

Can you help us choose software instead of building something custom?

Yes, and we would rather do that when it is the right answer. We run the requirements work, put the same structured questions to a shortlist of vendors, sit through the demos, and hand you a written recommendation covering fit, pricing, integration, and risk.

Then we help you configure and adopt what you picked, which is the half that usually decides whether the purchase was worth it.

Will the new system talk to the tools we already use?

Usually. If the platform has an API, we can generally connect it to the CRM or reporting system you already rely on. We keep those integrations narrow on purpose, moving only the fields the workflow needs, so both sides stay clean and nobody needs a developer to maintain them.

Do you train our staff, or hand over the keys and leave?

We train. Handoff includes sessions on the handful of workflows staff need on day one, a short written reference for those, and someone reachable through the first weeks of live use. The goal is self-sufficiency on the routine things, with deeper expertise arriving over time.

Will it be accessible?
Yes. We build to WCAG standards on every project. If you have specific compliance requirements, tell us upfront and we'll scope accordingly.
Can you build on my existing WordPress/Wix/Squarespace/Webflow/etc website?
Almost certainly. We work across nearly all major CMS platforms. The consultation is the fastest way to confirm, bring us your platform and we'll tell you right away.
Let's talk

Thinking about a new system for next term?

Start before the purchase, not after. A free consultation gives us enough to tell you whether you need an evaluation, a configuration project, or just a few fixes to what you already have.

We will also tell you if you should keep the system you have.
